POSITION:                               Accounting Technician/Media Estimator

JOB SUMMARY:

            To process billing and payables in a timely manner for clients’ media placement in all types of mediums.  This function supports the media buying processes by implementing and administering all print, broadcast and interactive media schedules placed by the agency using the EAS system. The incumbent will work independently under limited supervision.

 

ESSENTIAL JOB FUNCTIONS:

  • Establish and maintain master files to ensure the data is ordered and billed to meet client specifications.  This includes:

            -     Maintain vendor records to ensure correct insertion addresses and payment addresses which results in the accurate placement of media schedules.

            -     Maintain client records to ensure accurate billing and reporting for agency and client use. 

  • Accurately process insertion orders and materials in time to meet closing dates including media buy changes and material revisions.
  • Coordinate invoice reconciliation and check disbursements by matching system records against vendor invoices and resolving discrepancies when balances are not in agreement with agency records.  Monitors cash flow by processing payments in time to retain all commissions and cash discounts.
  • Work with Broadcast Buying/Media Planning to reconcile broadcast discrepancies for payment.              
  • Execute client billing per the terms of the contract.  Provide Account Service personnel with monthly billing reports that indicate planned and actual media placement expenditures as well as production and time reports.
  • Other miscellaneous duties as requested.

 

RELATED JOB FUNCTIONS:

  • Provide back-up support for department personnel.
  • Keep supervisor informed of workload and communicate system and account problems.

 

MINIMUM QUALIFICATIONS:

  • High School diploma or equivalent.
  • 6 months of accounting or high-volume office administrative experience

 

 

PREFERRED QUALIFICATIONS:

  • Two year Accounting degree or equivalent experience
  • Experience in billing and payables
  • 1 year experience with a media management software application (Donovan, MM+, EAS, Strata)
